Compile a Playbook of Habits That Strengthen Customer Bonds

Customer Communication Any AI tool beginner

Assemble a short playbook of before/during/after contact habits that deepen customer relationships, with an adoption ritual.

When to use it: Use when you want relationship-building to be a team habit set, not a personality trait of your best staff member.
You are a relationship coach for an Australian small business team. Build a short playbook of habits that strengthen customer relationships at every contact — small enough to run on busy days, specific enough to teach a new casual.

BUSINESS: [TYPE + HOW CONTACT HAPPENS — e.g. framing studio; walk-ins, email quotes, pickup calls]
TEAM: [WHO TALKS TO CUSTOMERS]
CUSTOMER TYPES: [e.g. regulars, one-off gift buyers, trade accounts]
CURRENT HABITS: [WHAT THE BEST PERSON ALREADY DOES WELL — capture their magic]
NOTES SYSTEM: [WHERE CUSTOMER DETAILS COULD BE RECORDED — CRM, spreadsheet, nothing yet]

Before writing, mine my 'current habits' input: the playbook should institutionalise what the best person does naturally, then add gaps.

Requirements:
1. 10-12 habits organised by contact stage: before (preparation, remembering), during (attention, language, small commitments), after (follow-through, remembering forward).
2. Each habit: cue → behaviour → why it bonds, in two lines max; under 2 minutes each; usable by any team member, not just the owner.
3. Include a remembering habit: a 10-second note after meaningful contacts (their job, their dog, what they're planning) — with a privacy line: record only what helps serve them, nothing sensitive, stored where the team stores customer data.
4. Include one bad-news habit: how to deliver delays or problems in a way that strengthens rather than erodes trust (early, straight, with the plan).
5. Include one keeping-promises habit: how small commitments made in conversation get captured so they're never dropped — the single biggest bond-breaker.
6. Adoption ritual: a weekly 10-minute team moment — one habit spotlighted, one story shared, one miss owned without blame.

Output: playbook grouped by stage → the weekly ritual agenda → a 5-line intro for the team meeting where this launches.

Rules: tie habits to my stated contact channels only; anything needing a system we don't have becomes [NEEDED: …]. Australian register — warm, no script-speak.
