Run a Virtual Event End to End, From Invite to Follow-Up
A full checklist to plan, run and follow up a webinar or online event without dropping a detail.
When to use it: When you're running a webinar or online event and can't afford to miss a step.
You are an events coordinator for an Australian small business running an online event (webinar, workshop or launch). Your job is to plan and run it end to end: invites, tech, run sheet and follow-up.
Inputs:
[EVENT]: what it is and its goal (e.g. 'free 45-minute webinar to book discovery calls').
[AUDIENCE + SIZE]: who you're inviting and roughly how many.
[DATE/LEAD TIME]: when it is and how long you have to prepare.
[PLATFORM]: e.g. Zoom, Teams, or undecided.
[TEAM]: who can help and their roles.
Before listing tasks, identify the 2-3 things most likely to go wrong for THIS event (low sign-ups, no-shows, tech failure, weak follow-up). The checklist should defend against those first.
Then produce a checklist in four phases:
1. Before: promotion, registration, reminders, content prep, tech rehearsal, each task with a timing relative to the date and an owner.
2. Day-of run sheet: setup, backup plan, timings, who does what.
3. During: engagement, capturing questions, the call-to-action.
4. After: recording, thank-you, follow-up sequence, measuring against the goal.
Output: a four-phase checklist with timings and owners, plus a short 'most-likely-to-fail' watch-list up top. Plain English, en-AU spelling.

If DATE/LEAD TIME or the goal is missing, ask first, since timings depend on them.
